Before you create an event
This walkthrough is for a club Game Night. Sign in with an account authorized to manage that club or its event group. If management controls are missing, ask a club administrator to check your role. Free managers can create one event scheduled per week across their clubs; Pro removes that weekly limit. Check the allowance shown during setup. DUPR-rated play has additional connection and eligibility requirements. A Personal Game Night is a separate option in Play for a small group on one or two courts; it does not use the club management workflow.
Create and publish
Publishing creates the event page. Registration, publishing the lineup, generating matches, and starting play are separate steps.
- Open Play, select your club, and open Manage events. Tap the plus or Add an event control, then choose New Game Night.
- In Format, choose singles or doubles and the partner arrangement, then choose the format. Touch and hold a format for its explanation.
- Continue through Event, Play, and Players. Set the name, location, start and end, timing, scoring, physical court labels, capacity, and waitlist.
- Choose Social or rated play as offered, and resolve the eligibility messages before proceeding. Use Social for a feedback session unless rated play is specifically agreed.
- In Players, choose Website RSVP and set RSVP opens and RSVP closes, or choose I’ll add players for an outside registration list. In Review, confirm the rules and tap Publish Game Night. Start play separately later.

Actual iOS club setup captured October 14 in a local example with synthetic data. Begin with the play type and format, then follow Event, Play, Players, and Review. This example was not published as a production event.

Register players or use your existing registration list
Website RSVP and an outside registration list both need a confirmed Game Night roster. Your outside booking system does not automatically sync registrations into Pickleball365.
- With Website RSVP enabled, use Share RSVP Link to invite players. Confirm accepted players and waitlist status, and allow time for partner matching where the format requires it.
- For an outside list, open Manage Game Night → Add players in the iOS app. Select the matching Pickleball365 club members and tap Add selected players. Load more members if someone is not in the loaded search results.
- Players added this way need an existing Pickleball365 account and club membership. Capacity, payment, group access, and DUPR requirements still apply. Arrange missing memberships before preparing teams.
- Check the accepted roster against your registration list and actual attendance. Resolve missing players, withdrawals, and waitlist places before publishing the lineup.
Prepare the lineup and start
RSVPs are the starting point; check actual attendance before starting.
- Open Manage Game Night. With Website RSVP enabled, wait until the configured RSVP closing time before preparing teams. If needed, edit the event’s registration closing time.
- Choose a team-building option, such as a balanced lineup, random draw, or manual teams. Review the private draft’s roster, teams, courts, and unresolved items; a draft is not visible as the published lineup.
- Open Review & publish and use Publish lineup after resolving any issues. Check the published teams, starting courts, and rest assignments.
- Tap Generate Schedule, review the resulting matches and courts, then tap Start Event when attendance and the schedule are ready.
- Open Courts & Clock for timed games or Open Courts & Scores for score-based games. Check the first round and the public display before sending players to their courts.
Put the live scoreboard on a TV and share the QR code
The public scoreboard lets players and spectators follow live courts, scores, and standings in a browser without an app download or sign-in. Score entry and event management require an authorized signed-in manager.
- In the iOS manager view, use View display to open the public scoreboard and Share scoreboard to copy or share its link. Keep the public link separate from the RSVP link.
- Open that link in a supported browser on a computer connected to the TV, for example by HDMI. If your equipment already supports screen mirroring, test it beforehand; Pickleball365 does not provide a dedicated casting control.
- Test the internet connection, readable court labels, and QR code from a player’s viewing distance before guests arrive. Keep the display device awake and online.
- Ask players to scan the displayed QR code to follow the same public scoreboard on their phones. Registration, the full event, and team history have separate access requirements.

Run rounds and correct results
Follow the controls for your chosen format rather than assuming every format advances the same way.
- Review the current courts and missing scores before advancing.
- An authorized manager selects the court and enters both final scores in Game manager. Complete valid scores save automatically. Wait for SAVED · FINAL and check the public result; if a recovered draft or error pauses automatic saving, review it and use Save Score when shown.
- For a correction, open Edit Score or Review & Edit Score, review the stored result, and use Save Correction when shown. If there is a conflict, review the newer saved result before retrying.

Manage the clock and publish the next round
Follow the controls for your chosen format rather than assuming every format advances the same way.
- For timed games, tap the clock’s sliders control to open Clock & timing. Use Pause clock or Resume clock and the displayed duration controls as needed. Use Start Round 1 now if offered. Score-based games have no game or transition clock.
- Check missing results and any advancement notice before expecting the next round. Follow the current format’s clock and round controls; for formats needing another lineup or partner decision, review it before publishing the next round.
- Review standings and any placement or final matches produced for your format.

Close and share the event
Review missing scores, advancement notices, standings, and any final matches first. Tap End Game Night and read its confirmation. Ending archives the event; managers can still use Review Scores to review and correct results afterward. Use Share scoreboard for the results link. Review any winning-team photo and destination before publishing it.
Handle a late player, forfeit, or connection problem
Use the roster controls available for the event’s current stage and check the resulting assignments. The forfeit action records that match as a forfeit; it does not automatically remove the team from the event. If a score conflicts with another update, review the saved server result before retrying. Do not recreate the whole event to resolve one score.
